Who will be entering your articles to the website?

NO QUALIFICATIONS REQUIRED

Before you look around your parish for "qualified" people to enter articles to your website, you need to remember that there's no programming or technical knowledge required of them. The minimum level of knowledge required by the ParishWorld system is the ability to send and receive emails. If anyone can do that, they qualify. That should significantly widen your pool of possible Content Managers for the website. Other than the previously described "qualification," the only other requirement is the willingness to do it for the parish.

WORKING WITH WEBSITE ARTICLES

Appoint at Least One Administrator

We suggest you start with an overall website administrator. This person will control, assign and renew user privileges for the different Content Managers you will authorize to enter articles to your website. This Administrator will not necessarily be entering articles to the website. His/her role is more of a website manager to control who can have access to working on the different sections of the website and, when necessary, supervising what articles go to what sections. This administrator will be the sole person(s) that can create users (Content Managers), assign them with passwords, assign what section(s) the users can modify, and disable uses when necessary.

In most offices, we suggest that this either be the pastor, the office manager, or someone in a managerial role. Or all of them can be designated as Admins.

Assign your Content Managers

With an Admin in place, he or she can now go to the process of identifying Content Managers. Keeping in mind, that a Content Manager's role can be unlimited to handle all sections or limited to specific sections. Here are some suggestions:

1. The person that does the bulletin is a good possibility. He or she should be given access to all sections of the website.

2. The Director of Religious Education, or his or her assignee, should be allowed access to at least the Religious Education Section of the website.

3. The Youth Minister, or his or her assignee, should be allowed access to at least the Youth Life Section.

4. You can also solicit the volunteer services of anyone in the parish who has some spare time. To enter new parish articles each week, experience tells us it only takes someone about 20-30 minutes weekly, so the time required is really not that demanding.

5. Consider the volunteer services of people in your Youth Ministry. Likewise, people in your parish who need Confirmation service hours. With proper supervision, teenagers can be relied on to enter articles to your website. Their level of computer knowledge is probably higher than your older volunteers and they will adapt to this like fish-to-water. If you're worried about control, remember that your Admin(s) can can supersede what's done and turn off passwords when necessary.

ASSIGN AN INITIAL ADMIN FOR PARISH EMAILS

You also need to assign one person who can initially receive emails generated by the different sections of the website addressed to someone at the parish. These emails could take the following forms:

- general questions to the parish
- request for prayer to be included in the Prayer Request blog
- questions or comments to be posted to any one of the different parish blogs

This is only until a specific admin is assigned to each specific blog. This could be one admin per blog or one admin for all blogs. In most cases, a single person handles these. It's not a lot of volume.

ASSIGN SPECIFIC ADMINS FOR SPECIFIC PARISH BLOGS

This can be done a few months into the process as you get more familiar with the steps involved. It can also be done as soon as you have specific people you think can monitor, answer and process emails and messages coming into each specific blog. You can have one person or several handling the email from the blogs. It is your organizational decision.

Again, we emphasize that this is not a high volume activity for many parishes. It's normal to get a low of about about 3-5 email inquiries a week to a high of 8-10 a week.
